Administrative Assistant

Summary

NewLeaf Symbiotics (NLS) is an agricultural biologicals company with laboratories located at the BRDG Park facility at the Donald Danforth Plant Science Center in St. Louis, Missouri. NLS is seeking an administrative assistant to join our growing team. This is a part time contract or part-time position based at BRDG Park in St. Louis, MO. This position will report to the Product Technical Manager in the Commercial Team and support field trialing and product launch initiatives. Experience in the agriculture industry preferred. Ideal candidates will be self-motivated, detail-oriented, solution-focused and a strong team player.

Duties:

  • Support product trialing function by; processing and filing professional service agreements, other legal agreements, working with Accounts Payable to process and track invoices, maintaining trialing recordkeeping documents
  • Support product trialing function by; Procuring seed, seed treatment supplies and agricultural products and tracking and filing appropriate paperwork for new products coming into the laboratory either through purchase or from business partners
  • Support product trialing function by; filing and tracking incoming contract research organization (CRO), university, business partner and customer field trial data in a SharePoint team site and working with the field data team to create Power Point slide templates for anticipated data
  • Support product launch initiatives by; taking, revising and distributing weekly meeting notes for several cross functional product launch initiatives, filing relevant material in SharePoint
  • Support commercial team with travel arrangements and event registrations, scheduling virtual and in person meetings with business partners, maintaining an internal calendar of conferences, trade shows and related events, managing off site storage inventory of trade show and field day materials and working with NewLeaf’s advertising agency to replace materials as they run low
  • Other related administrative and recordkeeping tasks as needed to assist NewLeaf Symbiotics Commercial Team in meeting its objectives.

Qualifications:

3-5 years of executive support/ administrative experience required. Highly experienced with Office 365 suite (Word, Excel, Powerpoint, Sharepoint, Outlook, OneDrive, Teams), Adobe Pro (AdobeSign, pdf editing etc) required. Experience with Wrike or equivalent project management software preferred. Valid driver’s license preferred.
