Office Manager


NewLeaf Symbiotics (NLS), an agricultural biologicals company, is looking for a full-time Office Manager with experience in Executive Support, HR benefit administration, Accounting and Vendor relations. NLS company headquarters and laboratories are located at BRDG Park at the Donald Danforth Plant Science Center in St. Louis, Missouri.  We are seeking a personable and resourceful individual with a passion for sustainable agriculture, who will be responsible for managing the day-to-day office operations. 

Duties and Responsibilities:

  1. Performs regular and ad hoc administrative duties for designated company executives which may include but are not limited to emailing, calendars management, meeting preparation, contact lists maintenance, travel arrangements, expense reporting, conference registration and similar administrative duties 
  2. Leads a cross function Administrative Team, which includes Administrative Assistants, Accounts Payable, Facilities and Purchasing
  3. Oversees the Accounts Payable and Purchasing (non-manufacturing) processes and operations, available to consult, advise and assist when needed
  4. Performs HR administrative duties to include but not limited to health insurance, 401(k), paid-time off tracking, payroll change paperwork, full employee onboarding and exiting, confidential personnel file maintenance, worker’s comp claims and the stock option exercise process
  5. Performs IT vendor liaison duties which may include but are not limited to quarterly technical reviews; initiation and approval of new hire computer purchases; tracks software licenses and service plan to reconcile monthly invoice; and serves as point person for temporary company-wide issues 
  6. Collaborates with Human Resources VP to create and implement processes, send employee surveys and to schedule company trainings 
  7. Coordinates and organizes, in conjunction with members of the Administrative team, business meetings by preparing PowerPoint slides and scheduling agendas, reserving meeting rooms, creating, printing and distributing materials, catering, and any other associated activities
  8. Collaborates and communicates with Administrative team members on shared tasks
  9. Assists with the activities related to the appearance and maintenance of the office space either through personal initiatives (such as tidying the kitchen, clean up after meetings, etc.) or by referral to building maintenance staff
  10. Performs other duties, of a similar administrative nature, as requested or required 



  • High School Diploma with at least 10 years of administrative experience and 5 years managing others
  • Proficient in Office365 including Outlook, Word, Excel and PowerPoint
  • Experience in HR processes and benefit administration, Executive support, Accounting and Vendor relations
  • Working knowledge of the operation of common office equipment such as printers, scanners and small kitchen appliances
  • Adaptable individual who skillfully pivots between multiple tasks and interruptions, works independently as well as in a collaborative team environment 
  • Communicates clearly with tact and diplomacy, is solution-focused, organized and has meticulous attention to detail
  • Maintains confidentiality of sensitive information
  • Strong interpersonal skills


  • College degree
  • Proficient in OneDrive, SharePoint, Adobe Acrobat Pro DC, Survey Monkey
  • Experience using Microsoft Teams video conferencing or similar platform
